Workshop Refund & Rescheduling Policy

1. General Principles

Reason Connect Hub strives to maintain flexibility for facility engineers and operators while managing laboratory overhead, printed workbook preparation, and testbed station allocations. This policy outlines clear timeframes for seat cancellations, transfers, and refunds.

2. Scheduled Workshop Cohort Cancellations & Refunds

For individual seat registrations in scheduled workshops (such as the Commercial Mining Economics & Operating Cost Workshop or Facility Power & Thermal Efficiency Audit Clinic):

• More than 14 Calendar Days Prior to Workshop: Full refund (100%) minus standard banking processing fees (typically 3%).
• Between 7 and 14 Calendar Days Prior to Workshop: 70% refund of the total registration fee, or 100% credit applied toward a future scheduled cohort within 6 months.
• Less than 7 Calendar Days Prior to Workshop: Due to finalized lab testbed configuration, printed reference materials, and reserved catering, registrations canceled within 7 days are non-refundable. However, you may transfer your seat to a designated colleague from your organization at no additional charge.

3. Rescheduling & Cohort Transfers

If an operational emergency or travel disruption prevents your attendance, you may request to reschedule into an upcoming cohort:

• Rescheduling requests received at least 7 calendar days before the workshop start date will be transferred to an upcoming available date free of charge (subject to seat availability).
• One free reschedule is permitted per registration. Subsequent transfer requests may incur a ₩100,000 administrative rebooking fee.

4. Non-Refundable Items

The following fees and expenses are strictly non-refundable:

• Customized on-site audit clinic preparation deposits once preliminary electrical single-line diagram reviews have commenced.
• Individual no-shows on the day of the workshop without prior written notice.
• Personal travel, hotel accommodations, or incidental expenses incurred by attendees.

5. Workshop Cancellation by Reason Connect Hub

In the rare event that Reason Connect Hub must cancel or postpone a workshop due to severe weather, facility electrical outage, instructor illness, or government emergency directives:

• Registered attendees will receive prompt notification via email and phone.
• Attendees will be offered a choice between a 100% full refund or guaranteed priority enrollment in the rescheduled session.

6. Refund Request Process & Processing Time

To submit a refund or rescheduling request, please follow these steps:

1. Send an email to info@reason-connecthub.click with the subject line Refund Request - [Your Name] - [Workshop Title].
2. Include your registration confirmation number, original payment method details, and the reason for cancellation.
3. Our administrative team will acknowledge your request within 1 business day. Approved refunds are processed back to the original payment method within 5 to 7 business days depending on your banking institution.
